Case Study | Automated Jira Reporting with Power BI and Microsoft Fabric

Automating Jira Reporting with Power BI and Microsoft Fabric

Power BI Jira Integration Reporting Automation Data Engineering

FiftyFive developed a centralized reporting solution for the client by integrating Jira with Power BI and Microsoft Fabric. We automated data extraction and transformation, built custom project visualizations, and enabled secure report distribution, reducing manual preparation while improving reporting consistency and management visibility.

The Client

Overview

The client provides sustainable water and wastewater management services, covering water collection, treatment, and reuse. Its operations focus on efficient service delivery and responsible management of essential water infrastructure and related operational resources. The client engaged FiftyFive to automate the reporting layer around its existing Jira environment, while retaining full ownership of that environment and its project operations.

The Need

Challenges

The client’s project reporting depended on people repeating the same extraction and formatting work every cycle. Reporting effort scaled with reporting frequency, and management reviews were built on data that had already started to age.

  • Project-level and issue-level data was pulled from Jira manually for every reporting cycle, repeating the same extraction work each time.
  • Consolidation, analysis, and PowerPoint preparation were disconnected steps, creating rework and leaving no single home for reporting logic.
  • Jira work items and management reports fell out of sync between cycles, so review decks quickly became outdated.
  • The same metrics were presented differently from cycle to cycle, making recurring reports difficult to compare.
  • Preparation and distribution both required manual intervention, tying reporting throughput to team availability.
  • Stakeholders lacked a single, governed reporting environment for current project monitoring.
Our Approach

Solution

FiftyFive designed a single automated pipeline running from Jira through to stakeholder access, so reporting no longer depended on manual assembly. We integrated the Jira REST API for direct ingestion, shaped the data through Power Query, built a centralized Power BI data model, created custom project visuals with Deneb, and published the solution to Microsoft Fabric for controlled distribution through a Power BI App.

Direct Jira ingestion via REST API

FiftyFive integrated the Jira REST API so the reporting solution reads current project and issue-level data directly from the source system, removing recurring manual exports from the cycle.

  • Ingestion covers both project-level and issue-level records.
  • Data is pulled from Jira as the system of record, not from intermediate spreadsheets.
  • The manual extraction step is removed from every reporting cycle.

Structured transformation with Power Query

FiftyFive connected the API data to Power Query for structured extraction, transformation, and preparation, so incoming Jira records arrive in the model in a consistent, report-ready shape.

  • Transformation logic is defined once and reapplied on every refresh.
  • Preparation steps are held in the pipeline rather than in analyst worksheets.
  • Consistent shaping supports comparable output across reporting cycles.

Centralized Power BI data model

FiftyFive developed a centralized Power BI data model for project reporting and analysis, giving the client one governed definition of project data instead of several parallel working files.

  • The model serves as the single analytical layer for project reporting.
  • Analysis sits on modeled data rather than ad-hoc consolidations.
  • One model supports reporting views across management reviews.

Custom visualization with Deneb

FiftyFive created customized project visualizations using Deneb within Power BI, so reporting views match the client’s requirements rather than being constrained to default visual types.

  • Deneb supports project-specific visual designs inside the Power BI report.
  • Custom visuals replace hand-built PowerPoint slide layouts.
  • Presentation remains consistent because visuals are defined in the report.

Interactive reporting in place of PowerPoint

FiftyFive replaced manually prepared PowerPoint reporting with an interactive Power BI report, changing management reviews from a static deck into a live, explorable reporting surface.

  • Stakeholders interrogate the report directly instead of requesting new slides.
  • Reporting output no longer depends on deck preparation time.
  • The report reflects ingested Jira data rather than a hand-assembled snapshot.

Microsoft Fabric publishing and Power BI App distribution

FiftyFive published the completed reporting solution to a Microsoft Fabric workspace for centralized hosting and distributed it to authorized stakeholders through a Power BI App.

  • Microsoft Fabric provides one centralized hosting environment for the report.
  • Distribution runs through a Power BI App scoped to authorized stakeholders.
  • Centralized hosting and controlled distribution support reporting governance.
  • The client retained ownership of its Jira environment and project operations.

Project Duration2025 - Ongoing

FiftyFive consolidated four recurring manual reporting stages into one automated workflow running from Jira ingestion through to stakeholder access. Stakeholders now review current, consistent project information in a single centralized environment.

Four Stages Consolidated

Manual extraction, consolidation, analysis, and PowerPoint preparation became one automated Power BI reporting workflow.

Automated Jira Ingestion

Jira REST API integration removed repetitive manual data pulls and shortened the time required to prepare each project report.

Single Distribution Point

Authorized stakeholders access current, consistent project information through one Power BI App instead of recurring decks.

Centralized Fabric Hosting

Microsoft Fabric provides one governed environment for report hosting, improving governance, management visibility, and project monitoring.

FAQs

Jira reporting is automated by connecting the Jira REST API to Power BI, shaping incoming data in Power Query, and building a centralized data model. The report then refreshes from Jira directly, removing manual exports, spreadsheet consolidation, and slide preparation from every reporting cycle.

The Jira REST API provides programmatic access to project-level and issue-level data held in Jira. In a Power BI reporting solution, the API acts as the ingestion layer, supplying current work-item data so teams no longer extract information by hand each cycle.

Power BI can replace manually prepared PowerPoint project reports with a single interactive report. Instead of rebuilding slides for each management review, stakeholders open one report that reflects current project data, explore it directly, and see consistent presentation across every reporting cycle.

Deneb is a Power BI custom visual that allows developers to build bespoke visualizations using declarative specifications. Teams use Deneb when standard Power BI visuals cannot express a required reporting layout, such as project-specific views that previously existed only as hand-built presentation slides.

Microsoft Fabric provides a centralized workspace environment for hosting and managing analytics content, including published Power BI reports. Organizations use Fabric to consolidate reporting into one governed location, control access, and support ongoing distribution rather than circulating files individually.

A Power BI App packages published reports from a workspace and distributes them to a defined audience. Access is granted to authorized stakeholders only, and everyone opens the same report, keeping project information consistent without emailing files or maintaining separate copies.

Automated project reporting reduces repetitive preparation effort and improves visibility for organizations managing distributed infrastructure programmes, including water and wastewater operators. Centralized reporting gives management current project status, consistent presentation, and one governed environment for ongoing monitoring.

Jira data connected to Power BI can be protected through authenticated API access, workspace-level permissions, and audience-scoped distribution. Reports are published to a controlled workspace and shared only with authorized stakeholders, so access follows organizational policy rather than uncontrolled file sharing.

A Power BI Jira reporting solution scales when it is built on a centralized data model rather than per-project files. Additional projects, boards, and issue types can be added through the existing ingestion and transformation layer, so reporting expands without rebuilding the report for each new team.

Timelines depend on the number of Jira projects in scope, the complexity of required visualizations, and the approvals needed for workspace publishing. FiftyFive offers a two-week free proof of concept so teams can validate Jira ingestion and reporting output before committing to a full build.

Cost depends on scope, data model complexity, the number of custom visualizations required, and Microsoft licensing already held. FiftyFive bills monthly on actual man-hours, so reporting engagements are costed against work delivered rather than a fixed package that may not match the requirement.

Power BI developers can be engaged to build Jira integrations, data models, custom visuals, and Fabric-hosted reporting. FiftyFive provides Power BI and data engineering specialists through flexible engagement models with time-zone-aligned delivery, supported by a two-week free proof of concept before wider commitment.
